Personal Information Protection Policy

Basic Principles

The Japan International Trainee & Skilled Worker Cooperation Organization (hereinafter "JITCO") is a public interest corporation for the purpose of contributing to the appropriate and smooth promotion of the Technical Intern Training Program, Training Program and Specified Skilled Worker program, and directly and indirectly collects personal information from related parties. JITCO is aware that it has a social responsibility to appropriately protect this personal information. It has formulated internal regulations concerning protection of personal information and is working to promote thorough protection of personal information, with the aim of being a public interest corporation that is worthy of the trust placed in it by society.

With this in mind, JITCO has formulated the following basic policy relating to protection of personal information, and will implement it in order to fulfill its social mission.

  • (1)JITCO has established a management system for the protection of personal information, and if it acquires personal information, it shall publicize the purpose for which it will be used in advance and implement appropriate safeguards. If JITCO is directly provided with personal information by the subject of said information, either in writing or via the internet, it shall clearly state the purpose for which the information will be used. Safeguards shall be put in place to ensure that personal information that has been acquired is only handled within the scope of the stated purpose, and is not handled beyond the scope of the stated purpose (hereinafter "Use for Other Purposes"). With regard to the handling of personal information protection, JITCO shall comply with laws, regulations, and internal regulations that apply to the protection of relevant personal information, and it shall ensure that information is provided to JITCO's officers and employees.
  • (2)When handling personal information, JITCO will comply with all laws, national guidelines, and other norms.
  • (3)JITCO shall constantly maintain awareness of the importance of ensuring the safety of personal information. It shall implement appropriate safety measures to ensure that there is no illicit access, leakage, loss, or destruction, etc., of personal information, and implement corrective measures as necessary.
  • (4)JITCO shall respond to complaints and questions concerning personal information without delay.
  • (5)JITCO shall establish a personal information protection management system, including mechanisms and structures to protect personal information, and conduct continuous improvement to respond appropriately to changes in the external environment, etc.

Privacy Mark

JITCO has received Privacy Mark certification from JIPDEC as a business that complies with the Japanese industrial standards (JIS Q 15001: [Personal Information Protection Management System – Requirements]) and has established mechanisms with appropriate safeguards to protect personal information.

3. Purposes for which personal information may be used

JITCO uses personal information it has acquired to the extent necessary to achieve the following objectives. Furthermore, the following apply to all personal data held by JITCO.

  • (1)Providing advice and support in relation to technical intern training plans, immigration, and residency for technical intern trainees and trainees
  • (2)Providing advice and support in relation to immigration and residency for specified skilled workers
  • (3)Providing information and consultation for supervising organizations with regard to sending countries, sending organizations, etc., and providing consultation support for sending organizations, etc.
  • (4)Providing advice and support in relation to ensuring the health and safety of technical intern trainees and trainees, and specified skilled workers, and taking out private insurance to provide compensation for injury and illness, etc.
  • (5)Visits to supervising organizations and implementing organizations
  • (6)Sale of teaching materials and textbooks
  • (7)Publicity activities relating to the holding of public lectures, training courses, seminars, etc., relating to the Technical Intern Training Program, Training Program and Specified Skilled Worker program
  • (8)Hiring officers and employees, and contacting applicants
  • (9)Personnel and labor management, welfare, and health management, etc., conducted by officers and employees
  • (10) Responding to inquiries by telephone, email, or the Internet
  • (11) Business activities, contracting, correspondence, etc., with customers and trading partners
  • (12) Analyzing membership trends based on membership information and using this for business activities within JITCO

4. Requests, etc., for disclosure, etc., of retained personal data, etc.

JITCO shall respond promptly to requests for notification, disclosure, amendment, addition, or deletion of purpose of use, cessation of use, elimination, suspension of provision to a third party, and disclosure of records of provision to a third party of relevant retained personal information (hereinafter “Disclosure, etc.”). If the subject of the personal information or their agent makes such a request for disclosure, etc., please complete the required items in the following Request for Disclosure, etc. of Personal Information and submit it to the office. 5. Steps taken by JITCO for safe management of retained personal data

  • (1)Formulation of a basic policy
    • JITCO has developed and internally and externally disseminated a personal information protection policy to ensure protection and appropriate handling of personal information and personal data.
  • (2)Establishment of regulations concerning handling of personal data
    • JITCO has established internal regulations concerning protection of personal information based on JIS Q 15001:2017, created systems for protection of personal information, drafted rules for responsibility, authority, and handling of specific personal information, and implemented them throughout JITCO.
  • (3)Organizational safe management measures
    • With regard to the handling of personal data, JITCO has appointed managers for each department, and clearly stipulated officers and employees that may handle personal data and the scope within which personal data is to be handled by said officers and employees.
    • A system is in place for reporting to the manager if a breach of the Act on the Protection of Personal Information or regulations for handling of personal information, or an indication of such, is discovered.
    • With regard to the status of the handling of personal data, we periodically check the status of operations, and conduct annual audits of all departments and sites through staff from other departments.
  • (4)Human safe management measures
    • With regard to JITCO’s rules for handling of personal data, we conduct regular education of officers and employees, and check the level of understanding.
    • All JITCO officers and employees sign non-disclosure agreements that remain effective after separation from employment.
    • If there has been a breach of internal regulations, penalties, including disciplinary actions, are assessed against the person responsible in accordance with the rules of employment, and officers and employees are notified of such.
  • (5)Physical safe management measures
    • We have designated spaces for the handling of personal data, and we manage entry and exit by officers and employees, etc.
    • With regard to information equipment, etc., that handles personal data, access is limited, and measures have been put in place to prevent the viewing or handling of personal data by those without authority to do so.
  • (6)Technological safe management measures
    • We control access, and limit the scope of managers and the personal information databases, etc., that they handle.
    • We have introduced measures to protect information systems that store personal information, such as internal servers, from external illicit access and illicit software.
  • (7)Supervision of contractors
    • We regularly reevaluate and enter into agreements that include non-disclosure provisions with external business operators to which all or some of the personal data held by JITCO is consigned.
    • With regard to the status of handling of personal data, we require reports, and conduct supervision to confirm the actual status, etc., as necessary.

Handling of Personal Information from Usage of the Website

Use of IP (Internet Protocol) Addresses, etc.

JITCO records IP addresses and domains from which the website is accessed for maintenance and statistical analysis of the website; however, it does not use this information for any other purposes.

Nondisclosure of Cookie Information

Cookies are a function wherein the web server records extremely small amounts of data to the hard disk of the viewer of a website to act as a signpost. JITCO will not disclose cookies to any third party unless required by valid legal processes.

Warranties, Limitation of Liability, and Application of Japanese Law

Usage of the JITCO website is the responsibility of the customer. JITCO takes no responsibility for damage that may be incurred due to use of information acquired from this website or any other website that contain links to this website.
Furthermore, although this website may be accessed from countries around the world, which have different laws, the usage of this website by customers that access it is governed by the laws of Japan, irrespective of the differences in the laws of the customer’s respective country.
